Who we are
BioLiterate (“we,” “us”) is the data controller for the personal information described in this policy. We are a nonprofit organization based in San Francisco, California, USA.

What we collect
We may collect the following information when you interact with BioLiterate:
- Event registrations and participation. When you register for or attend one of our events (including webinars, LinkedIn Live events, roundtables, workshops, educational sessions, volunteer activities or community events), we may collect your name, email address, organisation, job title, LinkedIn profile information, attendance information, and any questions, comments or contributions you choose to make.
- Contact, newsletter and community sign-ups. If you subscribe to updates, join a mailing list, request information, volunteer, participate in one of our programmes, join a community initiative, apply to collaborate with us, or otherwise engage with us, we may collect your contact details and communication preferences.
- Donations and supporter information. If you donate, sponsor an activity, volunteer, participate in fundraising initiatives or otherwise support our work, we may collect information necessary to process and acknowledge your support and maintain our relationship with you.
- Speaker, contributor and partner information. If you speak at an event, contribute content, participate in interviews, collaborate on research or educational initiatives, or work with us as a partner, we may collect information relating to your participation and professional background.
- Website analytics and technical information. Like most websites, ours may collect basic technical information, such as browser type, device information, IP address, referral source and pages visited, through standard website technologies and analytics tools.
How we use it and our legal bases
We use your information to:
- provide, administer and improve our events, programmes, educational content and charitable activities;
- send event access links, reminders, recordings, follow-up materials and programme-related communications;
- respond to your questions, requests and enquiries;
- manage volunteer, donor, speaker, contributor and community relationships;
- communicate news about BioLiterate, upcoming events, educational resources, campaigns, opportunities to participate in our work, and fundraising initiatives where permitted by law;
- understand our audience, measure engagement and improve our website, programmes and outreach;
- protect our organisation, users and systems and comply with legal obligations.
Where EU, UK or Swiss data protection laws apply, we generally rely on:
- performance of a contract where processing is necessary to provide an event, programme or service you have requested;
- legitimate interests in operating and improving our charitable and educational activities, supporting our community and communicating effectively about our mission;
- consent, where required by law, including certain marketing communications and specific uses of recordings; and
- legal obligations, where processing is required by applicable law.
For individuals in the United States, we process personal information for the purposes described above, based on your consent where required or appropriate, and otherwise as reasonably necessary to operate our nonprofit, provide our programmes and events, communicate with our community, protect our systems, and comply with law.
We do not sell personal information, and we do not share personal information with third parties for their own marketing purposes.
Please do not submit patient data, health information, special-category data, government identification numbers, financial account details or other sensitive information to us unless we specifically request it and explain why it is needed.
Cookies and tracking technologies
Our website and online services may use cookies, pixels, analytics tools and similar technologies to operate the site, understand how visitors use it, measure engagement with our content and communications, and improve our outreach and programmes. These technologies may collect technical information such as IP address, device and browser information, pages visited, referral source and interaction data.
Where required by law, we will seek your consent before using non-essential cookies or similar technologies. You may also be able to manage cookies through your browser or device settings, although disabling cookies may affect how some parts of our website function.
Who we work with
We use a small number of trusted service providers to help us operate our programmes and organisation, including event platforms, LinkedIn, website hosting providers, analytics providers, email and communications tools, donation and payment service providers, legal, accounting and other professional advisers, and other vendors that support our charitable and educational activities.
These providers process information only as needed to provide services to us and are required to protect it appropriately.
Where relevant, we may also disclose information to partners or co-hosts involved in an event or programme, to authorities or regulators where required by law, to professional advisers, or in connection with an organisational change such as a restructuring, merger, transfer of assets or similar event.
If you make a donation or payment, payment card, bank account and transaction details are typically processed by our payment service providers and are subject to their own privacy and security practices. We do not need to store full payment card or bank account details to process donations.
Some third-party platforms, including LinkedIn, may process information under their own privacy policies and terms.
International data transfers
BioLiterate is based in the United States, so if you interact with us from outside the United States, your information may be transferred to and processed in the United States or other countries where our service providers operate.
Where required by law, we rely on appropriate safeguards for these transfers, such as adequacy decisions, contractual protections or other recognised transfer mechanisms. You may contact us for more information.
Events and recordings
Some of our events, webinars, interviews, discussions and educational programmes may be livestreamed or recorded for educational, charitable, archival or promotional purposes.
Where an event is recorded, we will let participants know. If you choose to submit comments, questions, chat messages or other contributions during an event, those contributions may be visible to other participants and may be included in recordings or related materials.
Depending on the event format and platform used, your name, profile information, questions, comments, chat messages or other contributions may be visible to other participants, speakers, moderators, co-hosts or the public, including where an event is livestreamed, recorded or made available after the event.
Recordings, clips, screenshots and excerpts may be shared through our website, social media channels, newsletters, reports and educational materials.
Presenters, speakers and contributors may be asked to enter into separate agreements governing recordings, content licences and publication rights.
Your choices and rights
- Opt out at any time. Every email we send includes an unsubscribe link, or you can contact us to stop receiving communications.
- Access, correction and deletion. You can ask us what information we hold about you, ask us to correct it, or ask us to delete it where applicable.
We honour these requests for everyone, regardless of where you live. Depending on your location, additional rights may apply.
- If you are in the EU, UK or Switzerland: you may have rights to access, correct, delete, restrict, object to or request portability of your information, withdraw consent where processing is based on consent, and lodge a complaint with your local data protection authority.
- If you are in California or another jurisdiction with applicable privacy laws: you may have rights relating to access, correction, deletion or other uses of your personal information, subject to applicable legal requirements and exemptions.

Data retention and security
We keep information only as long as reasonably necessary for the purposes described above.
As a general rule:
- event and programme information is retained for administration, follow-up and record-keeping purposes;
- newsletter and community contacts are retained until you unsubscribe or ask us to remove them;
- donor, volunteer and supporter information is retained as necessary to manage our relationship with you and comply with legal and accounting requirements; and
- recordings may be retained where they continue to serve educational, charitable, archival or historical purposes.
We take reasonable technical and organisational measures to protect personal information and do not use it for materially different purposes without appropriate notice or consent where required.
Children
Our programmes are generally intended for professionals, adult learners and members of the public interested in our mission. We do not knowingly collect personal information from individuals under 18 without appropriate authorisation or another lawful basis.
Changes to this policy
If we update this policy, we will post the revised version here with a new effective date.
